Cohort Structure and Responsibilities

Document Purpose

This document is required per the Bylaws of the California Community College Colleague Users’ Group (4CUG) per Article IV, Section 4. This document may be updated by the Board of Directors as needed.
Cohort members serve as a working group with their Cohort Lead. Each cohort’s primary responsibility is to perform outreach and communications to their functional area, gather topics for session presentations related to the cohort for annual conferences, and to promote the purpose of the 4CUG organization.

Executive Cohort

The Executive Cohort should include a minimum of six district executives (Director/Chief Technology Officer/Chief Information Systems Officer), including the cohort lead, ensuring at least one from each type of district.

  • District Types:
    • Multi College District
    • Single College District
  • Responsibilities:
    • Advocate and collaborate for the strategic vision of 4CUG membership.
    • Interface as the primary contact with Ellucian for advocacy matters on behalf of 4CUG.
    • Collaborate on contract negotiations with Ellucian and/or their partners.
    • Perform outreach and communicate with other member district executives and PoC’s.
    • Design and maintain structure for improvement requests for baseline Ellucian products.
    • Assist Ellucian with establishing workgroups when representation is needed on specific initiatives.
    • Facilitate PoC voting regarding common system improvement requests.
    • Report on voting results to PoC’s.
    • Inform PoC’s on the progress and completion of work performed by Ellucian.
    • Other duties as assigned by the Cohort Lead.

Academic Cohort

The Academic Cohort should include a minimum of two representatives from each functional area in addition to the Cohort Lead.

  • Functional Areas:
    • Student System
    • Financial Aid
  • Responsibilities:
    • Perform outreach and communicate with users within the cohort’s functional area to other 4CUG members.
    • Identify system issues for the functional area and report to Executive Cohort for inclusion in system improvement priorities.
    • Other duties as assigned by the Cohort Lead.

Nonacademic Cohort

The Nonacademic Cohort should include at least two representatives from each functional area in addition to the Cohort Lead.

  • Functional Areas:
    • Human Resources
    • Financials
  • Responsibilities:
    • Perform outreach and communicate with users within the cohort’s functional area to other 4CUG members.
    • Identify system issues for the cohort functional area and report to Executive Cohort for inclusion in system improvement priorities.
    • Other duties as assigned by the Cohort Lead.

Supporting Services Cohort

The Supporting Services Cohort should include at least one representative from each functional area in addition to the Cohort Lead.

  • Functional Areas:
    • Core Colleague
    • Mandated Reporting
    • Development and System Administration
  • Responsibilities:
    • Perform outreach and communicate with users within the cohort’s functional area to other 4CUG members.
    • Identify system issues for the cohort functional area and report to Executive Cohort for inclusion in system improvement priorities.
    • Other duties as assigned by the Cohort Lead.
